The platforms are not holding a copy for you

Microsoft and Google keep their services up and offer brief recycle windows. Neither of those amounts to holding a duplicate of your information for you, and each says as much in its own terms. A mailbox emptied on purpose, a site cleared during a migration, or a leaver handled badly all fall past whatever window is on offer.

The same applies to the books. QuickBooks Online holds no independent copy for you either, which people discover after a bad import rather than before one.

How much work can you afford to redo, and how long can you be down. Answer those two honestly for each system and the shape of the order falls out of it. A practice that cannot see patients without the practice management system needs its server line and verified restores. The same practice can probably tolerate losing an afternoon of general documents.

What this cut does not open

Recovery is the control people are most confident about and least often test. Here is what these nine lines do not do.

  • A backup is not your retention policy. How long a healthcare organization must keep records is a legal and professional question with your name on it. We will configure retention to match whatever you decide. Deciding it, and defending it, is yours.
  • A copy of patient data is still patient data. A duplicate inherits every obligation the original carried. Encryption applies while it moves and while it sits, and it stays inside the reach of your policies, your access decisions and your agreements. Treating it as somehow outside the program is a mistake.
  • Putting files back undoes nothing that was read. Where records were read or carried off, restoring them alters none of that. Recovery is a question of availability. On confidentiality it bears not at all, and anybody hinting otherwise is selling something.
  • Recovery time depends on how much you hold. A big restore across an ordinary connection needs whatever time it needs. Where a system has to be standing again inside a stated window, say the number during fitting so the design gets built around it rather than judged against it later.
  • Proving a restore is not proving a plan. The verification line shows recovery points boot and keeps the evidence. Whether your staff know what to do while systems are down, who telephones patients, and how you take appointments on paper is a continuity plan, and that is written by you.
